Who we are

Tech Trail Digital Solutions (Pty) Ltd (“Tech Trail”, “we”, “us” or “our”) is the responsible party for personal information collected through this website. We are committed to protecting the privacy of everyone who visits the site or engages with our services, and we process personal information in accordance with the Protection of Personal Information Act, 2013 (POPIA).

What this website collects

The website itself stores nothing. It has no database, no user accounts, no analytics and sets no cookies. Personal information reaches us only when you choose to send it, through one of these routes:

• Quote request form: your name, company, work email, phone number (optional), sector (optional), preferred timeline, the services you selected and any message you write.
• Appointment request form: your name, company, email, phone number, preferred date and time window, the topic and your preferred contact method.
• WhatsApp, phone or email: whatever you choose to share with us through those channels.

You must tick a consent box before a form can be sent. Please do not include special personal information (for example health, religious or biometric information) or information about other people in your message.

When a form is sent, our hosting provider processes your IP address and basic request details to deliver the page securely and to block abuse. We do not combine this with your form details and we do not keep it.

How we use your information

We use the information you send us only to:

• respond to your enquiry, quote request or appointment request;
• prepare a written quote or proposal you have asked for;
• arrange and hold a meeting you have requested;
• keep a record of our correspondence with you; and
• comply with our legal and regulatory obligations.

We process this information because you have consented to it, because it is necessary to take steps you asked for before entering into a contract, or because we have a legitimate interest in responding to business enquiries. We do not use it for automated decision making or profiling, and we do not send marketing unless you ask us to.

Who we share it with

We do not sell, rent or trade personal information. We share it only with:

• Operators who help us run the website and our email: our website host (Netlify) delivers the site and runs the small function that forwards your form to our inbox, and our email delivery provider (Resend) transmits that email. They process information on our instructions and may not use it for their own purposes.
• WhatsApp (Meta): only if you choose to contact us on WhatsApp, in which case WhatsApp’s own privacy terms also apply.
• Authorities: where the law requires us to.

Transfers outside South Africa

Our website host and email delivery provider operate infrastructure outside South Africa, including in the United States and the European Union. Where personal information is transferred outside South Africa we rely on the conditions in section 72 of POPIA, including binding agreements that give a level of protection substantially similar to POPIA, or your consent, which you give when you submit a form.

How long we keep it

The website does not keep form submissions. They arrive in our business mailbox, where we keep them only for as long as we need them to respond to you and, if you become a client, for as long as our contract and the law require. We delete or de-identify information we no longer need.

How we protect it

We use appropriate, reasonable technical and organisational measures, including encrypted connections (HTTPS) for every page and form, strict security headers, access controls on our mailbox and providers who are bound to keep information confidential. No system is completely secure, and we will notify you and the Information Regulator as POPIA requires if we have reasonable grounds to believe your information has been compromised.

Your rights

Under POPIA you have the right to:

• ask whether we hold personal information about you and request access to it;
• ask us to correct, update or delete it;
• object to processing on reasonable grounds;
• withdraw your consent at any time, without affecting processing that already took place; and
• lodge a complaint with the Information Regulator.

Changes to this policy

We may update this policy from time to time. The current version and its effective date are always shown at the top of this page.
